How to setup your client work in Aero

While there are many, many different methods for getting all your firm’s work into Aero, there are some best practices you can follow to ensure that the setup goes as smoothly as possible.

  1. Make sure you have gone through and setup your account correctly.
  2. If you like learning from video, here is a great set of video tutorials.
  3. Think about signing up for our “Setting up your Firm’s Work in Aero Webinar, so we can demonstrate how it works.
  4. Start by creating templates for the services you provide to more than one client. A template shows how a task should be done, but it is not scheduled and is not assigned. Check out the starter templates for examples. If you want to you can edit them so they fit your practice.
  5. Take a look at the Aero Library to see if you can use templates that already exist (the Aero Library can only be used by paid subscribers, but you can check it out and see what’s there).
  6. Add any procedures you might want to have as references for the templates you created. Set up your Procedure Types.
  7. Here is a sample of a procedure for using rules in QuickBooks Online:QBO__Banking_Rules_-_Procedure_-_Aero_Workflow_Manager_and_Edit_Post_‹_Aero_Workflow_Help_—_WordPress
  8. Take a look at the Aero Library to see if you can use any procedures there.
  9. Now it’s time to start scheduling work. Use the templates on the Manage > Aero Templates screen (or use Library templates) to create Aeros (one-time activities) and Master Aeros (recurring activities).
  10. Think about work you want to assign that is specific to one or two clients. You can create Aeros and Master Aeros directly, without having a template.
  11. Decide if you want to group your Aeros and Master Aeros in Projects.  Set up project types to help you organize your projects.
  12. Ask your team to get Aero Certified so that they know how to use Aero. Consider the Aero Guru certification for at least one person on your team.
