Procedure, Template – What’s the Difference?

A Procedure and an Aero Template are related – in fact they may even be about the same service – but there are differences.

For example, below is an Aero Procedure for making Deposits in QBO. You’ll notice that it has detailed step-by-step instructions and print screens. It’s possible that a person who had never before made a deposit in QBO could follow this Procedure without needing any more explanation. And, although you can point to a procedure in a step, a Procedure on it’s own cannot be turned into an Aero or Master Aero.

Recording a deposit of cash and checks

  • If the deposit includes a lot of payments, it’s helpful to have a copy of the deposit slip that shows exactly which payments are in the deposit.
  • Navigate to [plus icon] > Bank Deposits.  In the upper half of the Deposit screen, you’ll see all of the Undeposited Payments and Sales Receipts waiting to be taken to the bank.
  • Choose the account the deposit was made to and the date of the deposit.
  • Check the box of each Payment or Sales Receipt included in the deposit.  Once the deposit screen total matches the total deposit at the bank, save the transaction.

Recording a Deposit of Credit Card Receipts and EFTs

  • If the deposit includes a lot of payments, it’s helpful to have a copy of a statement from the merchant service account that shows exactly which payments are in the deposit.
  • Navigate to [plus icon] > Bank Deposits.  In the upper half of the Deposit screen, you’ll see all of the Undeposited Payments and Sales Receipts waiting to be taken to the bank.
  • Choose the which account the deposit was made to and the date of the deposit.
  • Check the box of each Payment or Sales Receipt included in the deposit.
  • If the Merchant Provider deducts their fees from each deposit, scroll down to the Add New Deposits section. Enter the amount of the fees as a negative number and the account as the Merchant Service Fees or Bank Fees account.
  • Make sure that Deposit screen total matches the total deposited to the bank and save the deposit.

 

And below is an Aero Template for the exact same thing. The checklist contains short reminders of the process to follow. You’d have to know what you’re doing, but even experts appreciate reminders! And, although a Template itself is never going to appear on someone’s Aero List, you can use an Aero Template to create and schedule Aeros and Master Aeros.
