Read Email and Reply

To read an email in your Aero List, simply click on the envelope icon. The Read Email window will open with the subject of the email in blue at the top and the name of the contact that sent the email below that. The body of the email will be below the contact name.

If there is an attachment to the email, there will be a blue Open in Gmail button above the Reply button. Clicking the Open in Gmail button will open the email in a new tab where you can see any attachments (this option is only if you are syncing with Gmail).

You have a few choices as to what to do with this email:

  1. Read the email, save a copy in the customer Aero list, but don’t reply.
    • You can fill out the following fields before you save the email.
      Time Note You can type notes in the time notes box that will then be available to be added to a customer invoice.
      Type *Required The Aero type defaults to other, but you can choose any type on the dropdown list.
      Company If the email is from a contact with a default Company, this will be auto-filled. You can choose a different company from the Company list. A copy of the email will then be saved in the company’s Aero list.
      Project The project this Aero is associated with (choose from the drop down menu or start typing a project name, company name, or project type to find).
      Hat You can choose a job ‘hat’ you’re wearing while writing the email.
      Billable Check the box if the time spent writing this email is billable. Leave it unchecked if it’s not.
    • When you’re done filling out the above fields, choose Read & Complete from the timer menu
  2. Read the email, defer it, and assign the email to another team member. 
    • If desired, fill out the fields as in #1.
    • Choose Read & Defer from the timer menu.
    • On your Aero list, use Category link to edit the Aero and assign it to another team member.
  3. Read the email, save a copy in the customer Aero list, write a reply, but don’t send it yet.
    • If desired, fill out the fields as in #1.
    • Click the blue Reply Options button to see more fields.
    • You’ll see the following fields you can use to write your reply.
      Select Email You can choose an email from the dropdown list to be inserted into the reply fields below.
      Add To Click the Add To button to add the email you chose to the Reply To field
      Add CC Click the Add CC button to add the email you chose to the Reply CC field.
      Add BCC Click the Add BCC button to add the email you chose to the Reply BCC field.
      Reply To The email of the sender is automatically copied into the Reply To field. You can type emails directly into these three fields, separated by commas. Or, you can choose emails to be inserted into these fields from the dropdown list above.
      Reply CC
      Reply BCC
      You can choose one of your email templates from the dropdown list to be the body of the email.
      Pull from template Click the pull from template button to pull the template you chose into the body of the email.
      Reply This is the body of the email. You can use the formatting bar to include images and links.
    • Choose Read & Draft Reply from the timer menu.
    • The email will now appear on your Aero list as an orange envelope. Both the original email and your reply draft will be saved in the same document.
  4. Read the email, save a copy in the customer Aero list, write a reply, and send it.
    • If desired, fill out the fields as in #1.
    • Click the blue Reply Options button to see more fields.
    • Fill out the email fields as in #3.
    • Choose Read & Reply from the timer menu. A copy of the original email and your reply will be saved in the customer Aero list. A copy will also be saved in your Gmail ‘sent’ box.
